About the Role

As a Case Manager, you will play a central role in supporting families through the legal aspects of their family-building journey. Responsibilities include:

  • Client Intake & Referrals
    • Review new client intakes.
    • Receive and evaluate case referrals, gather missing information and documentation.
  • Case Management
    • Open and establish parentage cases: conduct conflict checks, prepare invoices, draft retainer letters/conflict waivers, and process legal fees.
    • Manage a varied caseload, including coordination with clients, attorneys, co-counsel, opposing counsel, agencies, clinics, courts, hospitals, and government agencies.
    • Schedule client consultations, secure signed pleadings, and file parentage cases with the court.
  • Document Preparation & Support
    • Draft, review, and revise legal documents, including retainer letters, conflict waivers, correspondence, disengagement letters, and court pleadings.
    • Assist clients, when needed, in obtaining or amending birth certificates, securing apostilles, and processing judgments.

Requirements:

  • 1+ years of experience as a case manager or paralegal with court experience (family law or related fields).
  • Strong work ethic, attention to detail, professionalism, and reliability.
  • Ability to organize and prioritize multiple responsibilities in real-time.
  • Interest in the fertility field, with a drive to learn and excellent client service skills.
  • Proficiency with Microsoft Office (Word, Outlook, Excel), Adobe Acrobat, and PC environments.
  • Calm, empathetic demeanor with the ability to support clients in highly emotional situations.
  • Critical thinking, initiative, and problem-solving skills.
  • Commitment to confidentiality and support of diverse family-building paths.

Preferred but not required:

  • Knowledge of filing pleadings (by mail or e-filing) in California courts.
  • Experience with customer database or document assembly systems.
  • Prior work in a family law firm, family law court, surrogacy or egg donation agency, or IVF clinic.
